3. Purposes and scope of processing and legal basis of processing
The University of Silesia in Katowice will process your personal data for the purpose of organizing the International Student Team Competition in Mathematics (ISTCiM) in the following scope: personal data of the team leaders (first name, surname and academic title) as well as students and PhD students participating in the Competition: i.e. name and surname, academic title, email address, image shown on photos or screenshots documenting participation in the competition and address data of the university.
Furthermore, the University of Silesia in Katowice will process your personal data to comply with its obligations as the Organiser of the 'International Student Team Competition in Mathematics' project. This is required under the funding agreement (no. RW/119/2025) with the GZM Metropolis, which co-finances the project through its 'Metropolitan Science Support Fund' Programme. The processing is necessary for the financial settlement and auditing of the agreement, particularly for documenting that the project tasks have been completed.
The legal basis for the processing of your personal data is, based on Article 6(1) (a), (e) and (f) of the Regulation 2016/679 of the European Parliament and of the Council (EU) of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation):
1) your voluntary consent to the use, including dissemination of the image in the photographs documenting your participation in the aforementioned competition, for informational and promotional purposes (Article 81 (1) of the Act of 4 February 1994 on Copyright and Related Rights);

3) legally justified interest pursued by a higher education institution or a third party through the use, including dissemination, of an image constituting only a detail of the whole image and not the main motif of the photograph (without any facial close-ups, i.e. in such a way as to show the fact that the competition has taken place and not the image of individual persons participating in it), for information and promotion purposes (Article 81 (2), subs.2 of the Act of 4 February 1994 on Copyright and Related Rights).
3) legally justified interest pursued by a higher education institution or a third party through the use, including dissemination, of an image constituting only a detail of the whole image and not the main motif of the photograph (without any facial close-ups, i.e. in such a way as to show the fact that the competition has taken place and not the image of individual persons participating in it), for information and promotion purposes (Article 81 (2), subs.2 of the Act of 4 February 1994 on Copyright and Related Rights).
The provision of personal data is voluntary, but necessary to participate in the International Student Team Online Competition in Mathematics (ISTOCiM). If the data is not provided, it will not be possible to achieve the above mentioned purpose.
4. Period of retention of personal data
We will store your personal data for the period necessary to carry out the competition, publish the results of the competition and send certificates, but not longer than until you withdraw your consent to their processing, in accordance with the applicable laws.

5. The recipients of the data
We may transfer your data to processors and other entities to which the controller, on the basis of an agreement on entrusting the processing of personal data, will commission the performance of specific services involving the need to process personal data, and to public authorities or entities entitled to obtain the data on the basis of applicable laws.
The organizers anticipate that the competition may also be conducted in the online form. Therefore, if you will be a participant of an online competition, you must be aware that we will process your image as part of the online competition conducted through the suitable platform. . The competition will not be recorded or broadcast externally.
We will make your personal data (i.e. name, surname, academic title and the name of the university represented) available on the websites administered by the University of Silesia istcim.math.us.edu.pl in order to publish the list of winners.

6) the right to object to the processing of your personal data in view of your particular circumstances, in cases where we process your data on the basis of our legitimate interest, including for the purposes of direct marketing, or for the performance of a public task.
